Booking Clerk

Reporting to the Clinical Director, Outpatient Services, the Booking Clerk interacts with the patient and other health care professionals in ways that ensure that the patient’s needs are met in a caring and professional manner. The successful candidate will be required to work 0630-1430, 0700-1500, 0800-1600, 0900-1700, 1000-1800, and 1500-2300 Monday-Sunday. The commitment for part time is 37.5 hours per bi-weekly pay period.

JOB FUNCTIONS
  • Adhere to policies and procedures established for the assigned department while supporting the Mission, Vision and Values of Erie Shores Healthcare
  • Maintain the confidentiality of all patient information
  • Answer internal and external phone calls with professionalism and kindness.
  • Coordinate and maintain booking schedules with the Radiologists, Technologists, and other resources.
  • Schedule patient appointments ensuring all pertinent information is obtained and entered into scheduling system.
  • Coordinate the flow of incoming and pending requisitions and files either electronically or physically as appropriate.
  • Advise patients of any required preparations/instructions ensuring they understand.
  • Search all patients for previous visits and gather any pertinent information required that is not available on the PACS system (previous films, reports, etc.).
  • Call patients to schedule and confirm appointment and review preparation required
  • Mail out prep sheet to patient and request as needed.
  • Obtain any necessary previous films, images and/or reports not produced at the hospital
  • Check mailroom at least twice daily and distribute mail.
  • Call physician offices if orders are not complete.
  • Place orders and other required information in the Radiology Information System.
  • Call patients directly if indicated.
  • Phone support for all technologists and radiologists.
  • Check voicemails frequently.
  • Print next day’s schedule and deliver to service area and Radiologist.
  • Notify Technologists of patient arrivals if necessary.
  • Compile stats, input data upon request.
  • Issue patient reports when necessary to floors or physicians.
  • Work in conjunction with the hospital’s Continuous Quality initiatives and assists with identifying opportunities for improvement.
  • Perform any other relevant duties as assigned.
QUALIFICATIONS
  • Diploma in a recognized Medical Administration program or equivalent experience required
  • Medical Terminology knowledge required
  • StaffRight software experience preferred
  • Knowledge of Electronic Health Records software preferred
  • Ability to multitask and prioritize competing responsibilities effectively
  • Excellent customer service skills
  • Demonstrate leadership capabilities
  • Proficient with Microsoft Outlook, Word and Excel
  • Excellent interpersonal and communication skills
  • Ability to work collaboratively as a member of a team
  • Strong organizational skills
  • Experience working with Cerner, Ocean preferred
  • Typing speed of 40 wpm
  • May be required to undergo skills and ability testing
